Even With A Tight Timeline, A Smooth Transfer Is Achievable
It is possible to change your plan quickly, but it is critical to explain expectations and establish a realistic schedule.
Change does not always have to be difficult or frightening. Changes to your plan can be beneficial in many circumstances.
The issue is that change is frequently accompanied by expectations about the limits of what we, as advisors, can do and how we can accomplish it. These expectations might get in the way of crucial changes that can benefit your company and your employees.
Strengthen your brain in dealing with change.
While it may be easier to make incremental changes to your plan over time, there are instances when a speedy rollout is required. We recently had a client that needed exactly that – a plan change with a tight deadline.
A smooth transition – It is possible to change your plan quickly, but all parties must clarify expectations and establish a reasonable schedule. We were able to achieve a successful benefit change by keeping lines of communication open, and you can too.
Set clear expectations – The procedure must be followed in a logical order, with the following key questions answered first:
- What is the presentation of the change and what are the expectations?
- What is a reasonable deployment timeline?
- What choices do you have for dealing with any potential problems?
For example, if the plan arrives late in the game, we can have access to the information we need early in the third or fourth quarter, but other data may arrive later. Small events and disruptions like these can happen along the road, but if the expectations are addressed, clear, and controlled, the transition will go much more smoothly.
This entails anticipating possible issues (such as queries or complaints from employees) and preparing solutions and responses. This way, everyone is aware that these issues may arise, but you already have solutions.
Everyone involved in the project should be on the same page.
Surprisingly, this entails being slightly disappointed right away. For everyone involved, a surprise letdown is more unpleasant. We can streamline the process by setting realistic expectations, discussing the realities of the problem, and developing solutions ahead of time.
The process of changing your plan quickly, or slowly over time, can be successful if everyone is on the same page and communication is kept open. In our client’s scenario, we were able to successfully implement the revised plan within a short timeframe.
Change does not have to be frightening. Change can be beneficial if you know what to expect and have plans in place to deal with what you don’t.
